Do you replace tools like Weave, Doctible, NexHealth, or other dental platforms?
Not always. Our goal is not to replace every tool for every practice. We help determine what should stay, what should be simplified, and where a managed CRM and automation system can reduce friction. For some practices, Village AI Systems may replace disconnected tools. For others, we may connect or complement the systems already in place.
Are your workflows HIPAA compliant?
We design patient-data workflows with HIPAA requirements in mind and use BAA-supported systems where required. The exact configuration depends on the tools selected, the type of data being collected, and the practice's current workflow. During onboarding, we identify which workflows involve patient information and configure the appropriate safeguards, access controls, and handoff process.
Do you manage paid advertising?
Yes. Paid advertising is available in select packages and is managed alongside landing pages, CRM tracking, and follow-up workflows. This helps ensure campaigns are not just generating clicks, but are connected to actual patient inquiries, appointment requests, and performance reporting. Ad spend is billed separately.
What do we need to provide to get started?
Most practices need to provide access to their website, current forms, phone/texting setup, practice management workflow, brand assets, service priorities, and key team contacts. We also review current marketing campaigns, patient communication tools, and intake processes so we can design the right starting system.
